Overview

Noter Inc. ("we", "us", "our") operates the Noter application and the noter.so website. We are committed to protecting your privacy. This policy explains what data we collect, why we collect it, and how we handle it.

Data We Collect

Account information: Your email address and name when you create an account or sign in with Google.

Google user data: When you sign in with Google, we receive your name, email address, and profile picture from your Google account. We use this information solely to create and manage your Noter account. We do not access any other Google data such as your contacts, calendar, or files.

Meeting audio and transcripts: When you use Noter, audio from your meetings is captured locally on your device. Transcripts may be sent to our servers for AI processing.

Analytics: We use PostHog for product analytics. PostHog collects anonymous page views and button clicks to help us improve the product. We do not use cookies for analytics.

How We Use Your Data

We use your data exclusively to provide and improve the Noter application:

• To authenticate you and manage your account
• To provide meeting transcription and summarization services
• To send you product updates (only if you opted in via email signup)
• To improve our product through aggregate, anonymized usage data

We do not use Google user data for any purpose other than providing or improving Noter. Specifically, Google user data is never used for targeted or personalized advertising, sold to data brokers or information resellers, used to determine credit-worthiness or for lending purposes, or used to train AI or machine-learning models.

Data Sharing and Disclosure

We do not sell, rent, or trade your personal data, including any Google user data, to third parties.

We share data only with the following categories of service providers, solely to operate the Noter application:

• Authentication providers — to verify your identity when you sign in
• Cloud infrastructure — to host and run the application
• AI processing services — to generate meeting transcripts and summaries
• Email delivery services — to send transactional messages such as sign-in links
• Marketing email platforms — to send product news only when you have opted in
• Analytics (PostHog) — to collect anonymized usage data

These providers are contractually obligated to use your data only to provide services to us and are prohibited from using it for their own purposes. We do not transfer or disclose Google user data to third parties for advertising, data brokerage, resale, or any purpose other than providing or improving the Noter application.

We may also disclose data if required by law or to protect our legal rights.

Data Retention and Deletion

Account data: We retain your account information for as long as your account is active. You can request deletion of your account and all associated data at any time.

Meeting transcripts: Audio sent to our servers for AI processing is deleted within 24 hours of processing. Generated transcripts and summaries are retained in your account until you delete them or close your account.

Google user data: If you revoke Noter's access through your Google account settings, we will delete your Google-sourced data within 30 days.

Data Security

All data in transit is encrypted using TLS. Audio processing happens locally on your device when possible. When cloud processing is required, data is encrypted in transit and at rest, and deleted from our servers after processing. Access to user data is restricted to authorized personnel on a need-to-know basis.

Your Rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data and account
• Revoke Google sign-in access at any time through your Google account settings

Changes to This Policy

We may update this privacy policy from time to time. If we make material changes to how we use your data, we will notify you by email or through a notice in the application before the changes take effect. Your continued use of Noter after such changes constitutes your acceptance of the updated policy.
